Join us for the Mineola Village Holiday Festival on December 14th & 15th! This festive two-weekend event is a prime opportunity for vendors to showcase their products and services to a large, engaged community. The festival will feature live entertainment, holiday activities, and a joyful atmosphere perfect for spreading holiday cheer and attracting customers. Vendor spaces are limited, and participation in both dates (12/14/24, 12/15/24) is required, you may also apply for the 12/07/2024 & 12/08/2024 festival on a separate application. Don’t miss this chance to connect with local shoppers, boost your brand visibility, and be part of the holiday magic! Please be advised that businesses engaged in direct sales, field marketing, or similar activities are not eligible to participate as vendors. In support of our local small business community, vendor spaces are reserved exclusively for small, local businesses.


However, direct sales and field marketing businesses are welcome to participate as event sponsors. Sponsorship includes opportunities for promotional booths and exhibits, which offer excellent visibility and engagement with event attendees.

Vendor Rules & Regulations (*Please review, as answers to the most commonly asked questions will be found here):

  1. Vendor spaces are priced for the entire weekend - 12/14, 12/15.  Please ensure you are available for both Saturday and Sunday.  

  2. Permits and Licenses: All food and beverage service vendors must possess valid permits and/or licenses required to serve or sell their products at the Mineola Village Holiday Festival.  Vendors are responsible for obtaining and maintaining their own permits and licenses in compliance with the regulations of Nassau County Department of Health.

  3. Vendor Space Assignments: Vendor spaces/numbers will be send via email (2) days before the event opening.

  4. Load-In and Set-Up: Vendor load-in begins promptly at 12:30 PM on each festival day.  Vendors must ensure that their setup is completed, and their booths are ready at least 15 minutes before the festival opens to the public.

  5. Load-Out: Load-out for vendors starts at 8:15 PM at the end of each festival day.  Vendors must promptly dismantle their booths and clear the festival space in an orderly manner. No equipment, tables, chairs, or products may be left over night, as there will be no overnight grounds security onsite.

  6. Cleanliness and Maintenance: Vendors are required to maintain a clean and hygienic environment within their booths throughout the festival hours.  At the end of each festival day, vendors must leave their assigned space clean and free of any debris, products, or trash.

  7. Compliance with Health Regulations: All vendors must comply with the health and sanitation regulations set forth by the NYS and Nassau County Department of Health.  Food vendors must ensure proper food handling, storage, and disposal practices to maintain public health standards.

  8. Liability Insurance: Exhibitors conducting activities involving live animals, bounce houses, or any other potentially hazardous activities must carry their own liability insurance.  Exhibitors are required to submit a copy of their liability insurance at least one month prior to the event day.

  9. Sales and Transactions:  Vendors are responsible for handling their own sales transactions and providing necessary equipment such as cash registers, card readers, etc.  All sales transactions must comply with applicable laws and regulations.

  10. Safety and Security: Vendors are responsible for the safety and security of their products, equipment, and personal belongings.

  11. Equipment and Vendor Space: Vendors are responsible for supplying their own equipment, tables, chairs, generators.. etc.  Vendors located outside the tented area are encouraged to bring their own tents, heaters, and generators if necessary for their operation.  We will not supply equipment.  


Vendor Aesthetic Requirements

To maintain the festive spirit of the Mineola Village Holiday Festival, all vendor booths and tents must adhere to the following aesthetic guidelines:

  • Holiday Theme: Vendors are required to decorate their booths to reflect a festive, holiday atmosphere. This can include the use of garlands, wreaths, twinkling lights, red and green accents, and other seasonal decor. We encourage creativity, but the overall theme should evoke the warmth and joy of the holiday season.

  • Booth Presentation: Booths should be clean, well-organized, and visually appealing to create an inviting space for customers. Vendors are encouraged to incorporate rustic wooden elements, cozy fabrics, and festive signage to enhance their displays.

  • Holiday Attire: While not mandatory, we encourage vendors to dress in holiday-themed attire to contribute to the overall festive ambiance of the event.

NO fryers, open flames, or grilling permitted under tented area.  Vendor Examples: Hot Chocolate/Coffee.  Prepared Foods in Sternos. Roasted Nuts.  Seasonal Drinks.  Small Product Display. 


8'x8' Space Inside Tented Area 

  • Ideal For: Small food/alcohol  vendor setup or product/sales.

  • Description: Perfect for small-scale operations, ideal for a compact food/alcohol  vendor setup or for vendors looking to display and sell their products. NO fryers, open flames, or grilling permitted under tented area.  Vendor Examples: Alcohol Service. Hot Chocolate/Coffee.  Prepared Foods in Sternos. Roasted Nuts.  Seasonal Drinks.  Small Product Display. 


10'x10' Space Outdoor

  • Ideal For: Small food/alcohol  vendor setup or product/sales.

  • Description: Perfect for small-scale operations, this space provides ample room for a compact food/alcohol vendor setup or for vendors looking to display and sell their products. Vendors are responsible for supplying their own equipment, tables, chairs, generators, tents, heat source. *Tents and heat source are highly recommended, due to cold weather.


20'x20' Space Outdoor 

  • Ideal For: Larger food /alcohol vendor setup or product/sales.

  • Description: Suitable for larger operations, this space accommodates bigger food/alcohol vendor setups or extensive product displays, providing a more spacious area for sales activities.  Vendors are responsible for supplying their own equipment, tables, chairs, generators, heat source if needed. *Tents and heat source are highly recommended, due to cold weather.


Food Truck Space OutDoor 

  • Ideal For: Food trucks only.

  • Description: Dedicated space for food trucks, ensuring they have the room needed to serve festival-goers efficiently and effectively.


40'x40' Space Outdoor 

  • Ideal For: Larger businesses such as games, activities, or businesses wanting to create a larger setup.

  • Description: This expansive space is ideal for businesses that require more room for games, activities, or extensive product displays, allowing for a larger, more engaging setup.  Vendors are responsible for supplying their own equipment, tables, chairs, generators, heat source if needed. *Tents and heat source are highly recommended, due to cold weather.
